Booking is paid, and all services are confirmed. The paid status can only be assigned by one of the Hellenic Travel Network operators once they have verified the payment.

Every booking you make is considered active. 'Active' means that we have received your reservation, and we have initiated necessary amendments.

Active

The 'Cancelled' status can be applied either by one of your users or by Hellenic Travel Network operators. If you cancel within our cancellation policy, the status will be updated to 'Cancelled' along with the applicable cancellation policy.

Cancelled

The 'Cancelled with Cancellation Fee' status indicates that the booking has been cancelled within the cancellation fee period. The price will be adjusted accordingly by our system, reflecting the cancellation fee. If you wish to discuss or negotiate the cancellation fee, please contact one of our operators.

While most bookings are considered active, there are cases where the status will be set to 'On Request' upon booking creation. One such case is when the booking is made close to the arrival date. The 'On Request' status means that the booking is pending confirmation, and one of our operators will contact you to confirm if we can fulfill the booking. If not, the reservation will be cancelled by one of our operators.

Once you have fill out all your travelers data and rooms press the button 'Send Booking' and you will be redirected to your management system platform.

Once you log in with your credentials, you will be redirected to the products page. This is our main display of all our products. You can either search by specific parameters with arrival date or simply explore.

First Screen

Our system has introduced a new feature called 'Room Addition,' allowing users to create reservations based on rooms. While the system's functionality remains the same, it now accommodates more than three guests in a single reservation. This is particularly useful for travelers traveling together, such as three couples under one reservation. However, it's worth noting that if the third couple prefers a different hotel (which is rare), a separate reservation must be made. Our booking summary management system doesn't support multiple hotels within one booking.

The prices remain unchanged and are consistent with our brochure catalogue, categorized as single, double, and triple occupancy. If a reservation exceeds three guests, the system simply accumulates the prices based on single, double, and triple occupancy rates.

For a clear illustration, refer to the example picture below, demonstrating a group of people traveling together comprising one single, one double, and one triple room. Each room's cost per person is visible, and within the analysis, these prices are aggregated to display the final cost.

If no available products are found through the search, you will see the 'Explore our Products' title. This functionality displays all of Hellenic Travel Network Products and, if you proceed to book, you will need to set arrival date in the next step

Explore Our Products

Opening the menu displays your company name and your email. Additionally, you can navigate to manage your bookings or your company's users and change your account password.

Choose between Dark or Light mode based on your visual preference and change the language. Language change does not affect market availability. All of our products are available in all 3 languages (English, Spanish, and Portuguese).

The navigation bar includes the search form, which is responsible for filtering based on your clients' requirements, options to switch the theme to dark mode, language options to choose your preferred language, and the menu which redirects you to our booking management system.

In this section, we will guide you through creating your first booking and exploring and navigating our products.

After moving forward and pressing the 'Buy Product' button, you will be redirectred to  a new page in order to enter your clients' details based on room capacity (Single , Double, Triple)  and any important notes (e.g., customer requires wheelchair).

Make the Booking

You can modify your initial search results by selecting an arrival date from our search bar. Simply click on 'Change Date' to open a pop-up window displaying all available dates and months for the specific product you navigated from 'Book Now'. Once you've chosen a new arrival date, the page will update to display the corresponding prices for your selected date.

Search Change

Select your preferred category based on hotel star rating (3 stars, 4 stars, and 5 stars), and new content will appear with details of the official brochure price in single double triple, arrival date, and extras. Extras, mostly port taxes or cabin upgrade supplements, will vary based on the product you choose.

Upon clicking the 'Book Now' button, the system will redirect you to the product profile page. This page contains all the information about the product, including what is included, what is not included, the itinerary, and destinations visited by this product.

How to Create bookings

The Accommodations tab is consistently accessible for viewing throughout the booking process. From the creation of the booking, our system dynamically calculates the nights and destinations with overnight stays. Initially, the table may display without specific hotel names. However, as hotels are confirmed by your operator, these blanks are replaced with the respective hotel names and their status. This ensures that you have clear visibility into your accommodation arrangements as they progress.

Accommodations

The booking summary provides all the necessary information about your booking, including the product name, chosen arrival date, booking status, and the assigned operator. Operators are typically assigned within 24 hours of booking.

In the customers tab, you can view and edit the initial customer information. Please note that you cannot add or remove customers directly. If you need to make changes, you'll need to either cancel the booking and create a new one or contact your operator for assistance.

Customers

In addition to the initial invoice, you have the flexibility to upload any crucial documents for your booking. For instance, you may choose to include passenger passports. Conversely, our operators will upload essential documents such as detailed itineraries, ferry tickets, and other items vital for your clients.

In the Flights section, you can provide essential information required by your operators for necessary amendments. Typically, each booking involves two flights – one for arrival and one for departure. Here, you can input details such as flight numbers and arrival times, enabling operators to cross-check with other online resources.

Provides detailed information about your booking, including the operator, arrival date, cancellation policy, payment, and financial analysis or room analysis.

Facilitates communication of important information between you and Hellenic Travel operators.

Notes

Allows you to view and edit customer details based on your initial booking input.

Displays flight details for customers arriving or departing from Greece.

Enables you to upload necessary files and access the invoice from the initial booking.

Shows confirmed hotels provided by your operator, with check-in and check-out dates calculated based on destinations and product duration.

This section provides guidance on effectively managing your bookings. Our booking management system covers every aspect of the booking process, from booking to arrival. Key features include:

In your bookings dashboard, you'll find a comprehensive overview of all your bookings. Convenient filters at the top allow you to refine your search, making it easy to locate specific bookings. Additionally, by selecting the 'Bookings Close to Cancellation Fee' button, you can quickly identify bookings that require attention – these are bookings that remain unpaid and are nearing their cancellation fee date. Your locator indicates your own internal booking ID.

My Bookings

Use the notes section to communicate important information with us or your operator. You can add any details you believe are relevant to the booking, and your operator can also apply notes as needed.

In the 'All Notifications' tab, you can view every notification for all your bookings. This section does not apply any filters.

Here, the system categorizes notifications based on changes in booking status. For example, changes in price or updates to customer information.

Our notifications system empowers clients to track every booking action within our platform. Whenever a booking is created, updated, or deleted, the system promptly notifies users with a new notification. Additionally, for each action, you receive an email containing a link that redirects you to the specific booking that underwent the change.

Within your dashboard's notifications tab, you can view all your notifications or filter them by specific actions. Notifications are ordered from the most recent to the oldest. Below are the types:

This role enjoys comprehensive access to all platform functionalities.

This role has limited capabilities, such as the inability to create new users or cancel bookings.

Users granted this permission are able to create new user accounts within the office environment.

Users with this permission can read all company notifications. If disabled, users can only view notifications related to the bookings they've made.

Users with this permission can mark all company notifications as seen. If disabled, they cannot mark any company notification as read.

Users with this permission can view the list of registered users associated with their office.

Users with this permission can modify user information, such as name and permissions. This option is unavailable if 'Can Read Users' is disabled.

Users with this permission can remove existing user accounts.

Users with this permission can freely make bookings on our platform without restrictions. If disabled, the user can only explore.

Users with this permission can view company bookings and access all associated information, such as notes, booking summaries, and flights. If disabled, they can only manage their own bookings

The Hellenic B2B Platform helps our clients easily handle their users. When users sign up through our partner, the first user automatically gets all permissions. But our system also lets clients adjust permissions for each user separately, giving them control over who can do what

While these role designations serve as labels within the system, we have implemented a robust permission system. This allows the Master User, or those with administrative privileges, to granularly assign permissions to individual users.
